If you’re drowning in paper and surrounded by overstuffed filing cabinets, it may be time to go paperless. There are 4 keys to cutting the clutter and making paper cuts a thing of the past.

Step One: Reduce incoming Paper

Every office receives paper in the form of bills, mail, receipts, and contracts, among many others. Any bill that has an electronic option can be paid online. You can also toss your fax machine. Step Two: Scan What You Can

Invest in a good scanner and make use of it. Start scanning every time something comes in, so you don’t end up with stacks of papers lying around.  After you‘ve successfully scanned a document you can shred the original.

Step Three: Organizations is Key

Being paperless is futile if you don’t create an organized system on your computer and make sure you save every scanned document in the right place. You could create a new folder every client or have folders for every month of the years. Try different things and figure out the virtual filing system that makes the most sense to you.

Avoid the risk of data loss and back up your information regularly. All new computers come with a CD or DVD burner, allowing you to regularly burn discs with all your new information.  Even better, buy a reasonably priced external hard drive and copy everything to it once a week.
